Administrative Assistant (Co-op)

Job Summary

The Administrative Assistant provides general office administrative support to the Leadership Team (Executive Director, Finance Manager, Childcare Manager, and Family Services Manager), performing reception duties, data entry, database management, research tasks, assist with maintaining social media platforms, and other special projects as may be assigned.

Key Duties and Responsibilities

  • Provides general office administrative support to the Leadership Team and other staff as required.
  • Triages communications: answers phone, in-person inquiries, and emails and routing to appropriate staff members if required; replies to general information requests accurately and in a timely manner.
  • Uses desktop software applications to generate spreadsheets, reports, and other documents as required.
  • Supports with updating and maintaining the organization’s web presence through social media posts, website updates, calendar updates, content creation, and online profile updates.
  • Creates promotional materials for upcoming events and programs.
  • Provide administrative support in the implementation of a new CRM database, including documenting “How to” procedures.
  • Performs data entry functions such as inputting information into databases and contact lists; maintains and updates filing, inventory, mailing lists, registers manually and/or using a computer.
  • Assists with the collection, research, organization and summarization of data from a variety of sources and produces reports and maintains records of statistics; assisting with the analysis of reported information; and assists with identifying service gaps and emerging trends.
  • Assists with creating staff and community newsletters.
  • Manages POS machine and tracking of payments.
  • Assists with reconciling financial transactions.
  • Assists with bank deposits as required.
  • Prepares meeting agendas, and supporting materials for distribution; takes minutes at meetings as required.
  • Communicates with other community organizations as required.
  • Assists with preparing year-end reports for AGM.
  • Provides event management support in the areas of room bookings, rentals, and event planning.
  • Sorts and distributes daily mail intake as required.
  • Maintains office supplies and places orders when necessary.
  • Provides admin support to special projects as assigned.

Qualifications

  • Relevant post-secondary in areas such as; Office Administration, Business Administration, Communication, Bookkeeping
  • Strong working knowledge of relevant computer applications (i.e. Microsoft Office Suite, Google Docs, Hootsuite, Canva, Mailchimp).
  • Working knowledge of social media platforms (i.e. Facebook, Instagram, Twitter, etc.)
  • Strict adherence to confidentiality regulations and ethical standards.
  • Work planning and management including scheduling and prioritizing work tasks to meet deadlines.
  • Efficient data collection, review and management of data plus accurate data entry skills
  • Critical thinking and ability to problem solve under pressure.
  • The ability to communicate effectively with other employees and participants.
  • Criminal Record check.

Employment Type:    Canada Summer Jobs – Youth 30 and under (can be a Co-op position)

Wage Rate:               $18.00/hour

Hours/Schedule:       25 hours per week, schedule to be determined

ECE Infant-Toddler Educators

Job Summary

Full and part time positions are available. Successful applicants will develop and deliver programming for toddlers, and provide care including meals, activities, etc. Full benefits will be provided to those working 20 hours per week or more.

Qualifications

  • Infant-Toddler Educator Certification
  • Relevant experience and related education will be considered

Wage Rate: $20-26 per hour based on qualifications

Hours/Schedule: TBD and mutually agreed upon
